Sustainable West Milford Board Meeting Minutes This document represents the minutes of the first 2008 Board Meeting for Sustainable West Milford. The meeting was held on January 15, 2008 at 50 Linwood Drive, Hewitt, NJ 07421, from 7:30pm to 9:30pm. In attendance: David Watson-Hallowell Wendy Watson-Hallowell Jade Fiskaa Suzie Blodgett Robin Rose-Bennett Kate Hayes Joe Natale Anne Thornton Renee Alessio Not in attendance: Norma Bozenmeyer James Warden All membership appointments (above) will be voted in by community members at Sustainable West Milford’s monthly public meeting on Monday, January 28, 2008 from 7p-9p at the Hill Crest Community Center – 1810 Union Valley Road in West Milford NJ. Meeting Agenda was as follows: AGENDA Welcome, Thanks and Introductions The Role of the Sustainable West Milford Board Member Organizational Structure Board Member Participation What’s Next – Timeline for SWM Dave Watson-Hallowell reviewed the role of each board member with everyone.. All in attendance agreed to participate as a board member within that role description. (see attached description). Dave & Wendy Watson-Hallowell reviewed the organizational structure with the group and what is expected of each committee and task force member. Dave made the distinction that the committees are the ‘administrative’ part of the organization and the task forces as the ‘operational’ aspect of the organization. The group then identified what committees and task forces they wanted to lead or participate in. An additional task force was added to represent the “Cool Cities’ initiative that SWM coordinates with the town.. After a short break, the group reviewed a draft timeline and list of activities/projects for 2008: Board Appointment Approval Jan 28 Community Garden Feb 08-11/08 Strategic Planning session Mar 08 Medicinal Garden March 08-11/08 Buy Local Education Spring 08 Green Certification April 08 WM Beautification Clean up Day April 08 Fundraiser (Pizza?) June 08 Organic Harvest Meal Aug/Sept. 08 Tire Pressure Check Oct 08 The members of the planning committee also set a date for Monday, February 18, 2008 from 9:30-5:30 for their strategic planning session at 50 Linwood Road, Hewitt, NJ 07421. Proposed appointments are: COMMITTEES: Executive Dave, Wendy, Jade Education/Communications Wendy, Suzie Fundraising Suzie, Jade, Renee, Wendy Planning Committee Dave, Wendy, Suzie, Kate, Renee, Robin, Joe, Jade TASK FORCES:: Green Living (includes building products, home products, cleaning products, green certification, energy use and transportation) Suzie (lead), Joe, Jade Clean Air, Water Soil (EPA Grant for 10/08 start) Dave (lead) Organic Food/Farming (includes community garden, CSA, food education) Kate (lead) Land Use (includes medicinal garden, permaculture phytoremediation) Robin (lead) Sustainable Economy (includes buy local education, tourism, farm to restaurant, farm to school, farmers market) Dave (lead) Kate Joe Cool Cities (includes non-residential energy conservation and use, and carbon footprint) Suzie (lead) Dave Recycle/Re-use/Reduce (includes in-school efforts, freecycle, water, etc). We have chosen you to serve on our Board of Directors because of your passion and commitment to a sustainable future for West Milford, and your ability to get things done. Our expectations are as follows: • Attend all quarterly Board Meetings • Participate on at least one Committee or Task Force • Promote and support SWM in your community and at events. • Small monetary contrbution. Executive Committee The Executive Committee is the volunteer governing body for Sustainable West Milford and works to integrate the activities of the separate task forces to achieve their collective vision. It sets policies in support of the mission and specific goals. The committee meets at least quarterly. Communication-Education Committee This committee provides sustainability education to encourage more sustainable, green-friendly choices among all our citizens, and to enhance the awareness of the activities and vision of Sustainable West Milford. The committee will meet at least twice throughout the year. Planning Committee The Planning Committee is chartered with creating, implementing, maintaining the Sustainable West Milford Strategic Plan and reporting progress made. The committee consists of at least one member from each Committee and Task Force. The committee will meet at least twice troughout the year. Fundraising Committee The Fundraising Committee is chartered with raising the funds needed to achieve the mission and specific goals of Sustainable West Milford. The committee will meet at least twice troughout the year. Task Forces Task Forces guide, manage, and direct the activities associated with each area of community impact. Each Task Force leader is charged with coordinating and supporting efforts within the impact area. Task Forces meet at least twice throughout the year.
